These are the terms & conditions to the 2011 One Tree Hill Final Fan Reunion. Please make sure you read, understand & agree to this before registering as you will NOT be able to register unless the terms & condition is clicked on. Please email me if you have any concerns:

One Tree Hill 2011 Fan Reunion Terms & Condition
1. General Terms & Conditions
Please read the following information carefully – Your completion of a reservation constitutes your acceptance of all the terms & conditions contained herein. You must be at least 21 years of age to reserve the Wingate, Wilmington accommodations. You may NOT reserve accommodations for individuals under the age of 21 as they will NOT be allowed to check in.
If you decide to travel with the One Tree Hill Fan Reunion and make payment on a tour, you thereby agree to accept the terms and conditions of this contract.
The One Tree Hill 2011 Final Fan Reunion shall not be liable for failure of travel service suppliers, including but not limited to airlines, hotels, railroads, car rental agencies, tour operators and consolidators to perform the services offered by such suppliers. One Tree Hill 2011 Final Fan Reunion, in providing travel management services, does not guarantee or insure the services to be provided by any supplier, the financial position of such suppliers or the reimbursement to you from any loss experienced as a result of the financial condition of such supplier. In the event that a supplier defaults prior to providing the service to you for which payment has been made, the sole recourse for refund shall be with the defaulting supplier, from insurance covering such defaults if any or from other responsible third party unless such was caused by One Tree Hill 2011 Final Fan Reunion.
Christy-Anne Arancibia is merely a reunion coordinator for the event not a chaperon.
The Reunion coordinator does NOT guarantee the meeting of any cast member during the reunion, there is a chance that participants may run into a cast member, however there is no guarantee or promise.
2. Website Prices
Prices and information on this website are for the November 2011 season and are subject to change without notice.
The event fee includes but is not limited to the following: Orientation room rental, bus rental, lunch, dinner, a/v set up, welcome packets including name badges, badge holder, lanyards, Reuniuon shirts, reunion giveaways, website maintenance fee, registration fee & much more.
3. Company Liability
One Tree Hill 2011 Final Fan Reunion and their respective officers, directors, servants and agents are not responsible for any claim, loss, damage, cost liability or expense arising, direct or indirect, out of injury; accident or death; loss, damage or delay of luggage or other property; or delay, inconvenience, loss of enjoyment, upset, disappointment, distress or frustration, whether physical, mental or otherwise, relating to the provision of tour operations, travel services and accommodations.
4. Passport & Visa
Passports: If traveling from outside of the USA you will require a passport for entry into the country and appropriate ID for all family members.
Visas: Check with your travel agent.
One Tree Hill Fan Reunion is not responsible for guests refused entry into the United States of America because of inadequate documentation. For further information regarding documentation for entry into the United States, please contact The United States Immigration Services.
5. Reservation/ Payment/ Late Fee Policies
- Deposit Policy
A minimum payment of 50% of total per person must be received at the time of booking to confirm your registration.
- Refunds.
Requests for refunds must be directed in writing to the Reunion Coordinator IMMEDIATELY. No refunds will be made because of airline delays, unused services or other acts beyond the control of the One Tree Hill 2011 Final Fan Reunion.
- Cancellation Policy-
Due to the unique nature of our inventory and the popularity of the reunion, the Reunion Coordinator must impose an administrative fee for any cancellations. Depending on the date you cancel registration, you may be entitled to a refund.
If you cancel a confirmed reservation, notification from you must be received by telephone. A written notification must follow immediately by email to Info@OTHFanreunion.com.
Cancellation Rates are as follows:
From Registration day until September 30th - 45% cancellation penalty of your total.
From October 1st to October 27th - 70% cancellation penalty of your total.
From October 28th until day of check in - 100% cancellation penalty of your total. (Roommates will lose all money, you will not be able to be replaced & therefore you forfeit all your money after October 1st)
***IMPORTANT NOTICE- This final reunion is being held on a Thursday evening, therefore there may be filming that day/evening, please make the appropriate plans to attend the mandatory reunion check in & orientation ON TIME. If you are more than 10 minutes late or do not attend the orientation you will be denied access to the reunion & will NOT receive a refund. Please make note of this as I will not be giving any warnings.***
6. Method of Payments-
Please be aware that the ONLY method of payment will be via PayPal. No other methods of payment will be accepted. PLEASE DO NOT MAIL ANY CASH OR CHECKS as they will be returned.
6. Payment Plans- Payment plans will be available to those that are interested in making 2 (TWO) payments. There is an additional $5 convenience fee for this service. Payment plans are ONLY available to those who register before September 17th, 2011. Due to the short amount of time to register for this reunion, only 2 split payments will be allowed, 50% at registration time & the other 50% by no later than the final payment due date.
7. Final Payment
Final payment must be received no later than October 17th, 2011.
On October 1st, anyone with a remaining balance will be sent a reminder email & required to make the final payment by no later than the 17th. If your payment is not received, your registration will be canceled & the cancellation rates would apply, so please make sure your payment is made on time.
Late Fees-
A late fee of $15 per booking will be assessed to each registration made after September 30th, we recommend you please register before this date & select the payment plan option; this fee is so we can entice people to register early, but if late registration is absolutely needed then this money goes towards freebies given throughout the reunion.
Registration Deadline-
Registration ends September 30th, 2011, but I will accept no more than 10 late registrations from October 1st until October 10th, 2011. Please note anyone registering after September 17th will not qualify for split payments, your registration MUST be paid in FULL. All roommate registrations MUST be registered no later than September 30th- after this date no more roommate registrants will be accepted. NO EXCEPTIONS.
8. CREDIT CARD DECLINES
At the time of processing your transaction if your credit card declines via Paypal; we will make all efforts to notify you by way of an email message within 3 business days. The transaction will not be processed if your credit card has declined. The REGISTRATION is NOT GUARANTEED.
9. Hotel Accommodations-
YOU ARE RESPONSIBLE FOR THE ACTS AND OMISSIONS OF THE INDIVIDUALS OCCUPYING THE ACCOMMODATIONS ("OCCUPANTS"), INCLUDING ANY LOSS OR DAMAGE TO THE ACCOMMODATIONS.
YOU AGREE THAT, IN ALL INSTANCES, THE PROVIDERS' LIABILITY TO YOU, YOUR FAMILY, YOUR GUESTS AND/OR THE OCCUPANTS FOR ANY AND ALL LOSSES OR EXPENSES INCURRED BY YOU OR THEM AS A RESULT OF YOUR RESERVATION OF RESORT ACCOMMODATIONS AND/OR THE USE AND OCCUPANCY OF SUCH RESORT ACCOMMODATIONS, INCLUDING BUT NOT LIMITED TO ANY DAMAGE, LOSS, OR THEFT TO PERSONAL PROPERTY LEFT IN THE ACCOMMODATIONS OR ANY PERSONAL OR BODILY INJURY WHICH OCCURS AT THE RESORT SHALL BE LIMITED TO THE AMOUNT OF THE PRICE PAID BY YOU TO RESERVE THE RESORT ACCOMMODATIONS, PLUS ANY APPLICABLE TAXES PAID. IN NO SUCH INSTANCE SHALL THE PROVIDERS BE LIABLE FOR ANY CONSEQUENTIAL, INCIDENTAL OR SPECIAL DAMAGES ARISING FROM YOUR RESERVATION OF RESORT ACCOMMODATIONS OR THE USE AND OCCUPANCY OF SUCH ACCOMMODATIONS.
Hotel reservations-
To receive the group rate you MUST reserve your hotel via phone no later than October 10th. The hotel rate is also available up to 3 days prior & after the reunion dates, for anyone wanting to come in earlier or stay longer.
If a roommate is necessary, the roommates will only be booked at the Standard rate at the Wingate by Wyndham,at the rate of $79 + Taxes a night, split in two. If requesting a roommate the participant must be at least 19 years of age. The room will only be booked for a maximum of 2 nights (November 3rd- 5th, 2011), if the participant chooses to stay any additional nights, the participant will be responsible for the other nights. There is an additional $50 per person refundable deposit for incidentals. All or part of the deposit will be returned on day of check out as long as there are no additional expenses or damage to the room.
The Wingate by Wyndham will be offering free parking for the guests along with free hot breakfast each morning in their hotel lobby.
There will be absolutely no underage drinking, and no one over the age of 21 is permitted to have alcohol in their hotel room with a roommate under the age of 21 unless they are a parent or guardian.
During the use and occupancy of the reserved resort accommodations, you and the Occupants must observe all of the rules and regulations of the Wingate by Wyndham. Violation of such rules and regulations may result in the loss of occupancy rights at the host hotel.
All applicants are subject to approval to verify age & for any errors while registering, along with any discounts which may apply. The turnaround for application approvals will be within 36 hrs of registration completion, please make sure that everything is filled out correctly, if there are any errors, especially in missing prices, there will be an additional $2 charge due to PayPal fees that will incur.
